    1. Health and Safety Policy Statement

    One Donate Ltd (trading as OneDonate) is committed to ensuring the health, safety, and welfare of all employees, contractors, visitors, and anyone affected by our business activities. Although the Company operates primarily as a digital platform with remote and hybrid working arrangements, we recognise our duty to provide a safe working environment and to comply with the Health and Safety at Work etc. Act 1974 and all associated regulations.

    The Company will, so far as is reasonably practicable:

    • Provide and maintain safe working conditions and practices
    • Ensure that health and safety risks are properly assessed and managed
    • Provide appropriate information, instruction, and training to all personnel
    • Consult with employees on matters affecting their health and safety
    • Continuously review and improve health and safety arrangements

    2. Scope of the Policy

    This policy applies to:

    • All employees, whether working remotely, in a co-working space, or at any Company-arranged location
    • Contractors and freelancers engaged by the Company
    • Visitors attending Company premises, meetings, or events

    As a digital-first technology company, the majority of work is conducted remotely. This policy therefore addresses the specific health and safety considerations relevant to remote working, display screen equipment use, and occasional in-person activities such as meetings, events, or partner visits.

    3. Responsibilities of Management and Employees

    Management Responsibilities

    The Company's leadership team holds overall responsibility for health and safety. Management will:

    • Ensure that this policy is implemented, communicated, and reviewed regularly
    • Allocate sufficient resources to meet health and safety obligations
    • Conduct risk assessments for work activities and environments, including remote workstations
    • Investigate incidents and take corrective action where necessary
    • Ensure that employees receive appropriate guidance on safe working practices

    Employee Responsibilities

    All employees are expected to:

    • Take reasonable care of their own health and safety and that of others who may be affected by their actions
    • Co-operate with the Company on health and safety matters
    • Follow guidance on safe use of display screen equipment and home working arrangements
    • Report any health and safety concerns, hazards, or incidents promptly
    • Not intentionally or recklessly interfere with anything provided for health and safety purposes

    4. Risk Management and Safe Working Practices

    The Company takes a proportionate approach to risk management, reflecting the nature of its operations as a primarily digital business. Key measures include:

    • Display screen equipment (DSE): Employees who regularly use computers are provided with guidance on workstation setup, posture, and taking regular breaks in line with the Health and Safety (Display Screen Equipment) Regulations 1992
    • Remote working assessments: Employees working from home are encouraged to complete a self-assessment of their workspace, and the Company will provide reasonable support to address identified risks
    • Mental health and wellbeing: The Company recognises the importance of mental health and promotes a supportive working culture, including reasonable flexibility, manageable workloads, and access to support resources
    • Electrical safety: Employees are advised to ensure that electrical equipment used for work purposes is in good condition and that domestic electrical installations are maintained

    5. Incident and Accident Reporting

    All work-related accidents, injuries, near-misses, and health and safety concerns must be reported to the Company's leadership team as soon as reasonably practicable. The Company will:

    • Maintain a record of all reported incidents
    • Investigate incidents to identify causes and prevent recurrence
    • Report incidents to the Health and Safety Executive (HSE) where required under the Reporting of Injuries, Diseases and Dangerous Occurrences Regulations 2013 (RIDDOR)

    6. Workplace Safety for Meetings or Events

    When the Company arranges in-person meetings, events, or partner visits, the following measures apply:

    • Venues will be assessed for suitability, including access, fire safety provisions, and general condition
    • First aid provisions and emergency procedures will be identified and communicated to attendees
    • Any specific accessibility requirements of attendees will be accommodated where reasonably practicable
    • Where events involve external venues, the Company will confirm that the venue operator holds appropriate insurance and safety arrangements

    7. Review and Governance

    This policy is reviewed at least annually, or sooner following a significant incident, a change in legislation, or a material change in the Company's working arrangements. Reviews are overseen by the Company's leadership team.

    The Company will:

    • Monitor the effectiveness of health and safety arrangements on an ongoing basis
    • Update this policy as necessary to reflect changes in operations, legislation, or best practice
    • Communicate any material changes to all employees and, where appropriate, to contractors and partners
